Every donation checked, every donor in view

Scorebase connects donor data, postal mailings, newsletters and donation accounting. Donations from the bank statement and from connected online payments land in a review queue — nothing is booked until a person confirms.

What it often looks like today

  • A donor database that doesn’t talk to the accounting
  • Bank statements, matched by hand line by line
  • A spreadsheet of campaign codes and mailings
  • Mail merge letters from the word processor with a separate address list
  • Tax receipts, created one by one in January
  • A newsletter tool with its own unsubscribe list

The typical shelf for foundations and non-profits

Six apps that foundations and associations usually start with: CRM, E-Mail, Kampagnen, Aufgaben, Inhalte and Finanzen. Donation management is an add-on to the Finanzen app and works with the same contacts as CRM and Kampagnen. Every app can be booked individually — the shelf is a suggestion, not a package.

One mailing, from dispatch to tax receipt

Campaign code, donation, booking and receipt are attached to the same donor. Nothing is booked without your confirmation.

Example: the autumn mailing of Stiftung Muster

  1. KampagnenMail merge letter with campaign code

The autumn mailing goes out by post as a mail merge letter to your segment. Each letter carries the campaign code of the mailing.

  2. FinanzenDonation in the review queue

Ms Muster’s donation arrives with the bank statement (camt). A matching rule suggests the donor and the campaign code.

  3. FinanzenConfirm, then book

An employee checks the suggestion and confirms it. Only then is it booked — to the account that belongs to the campaign code.

  4. CRMDonor in the CRM

In the CRM, the team sees on Ms Muster’s contact what she has donated so far.

  5. E-MailQuestion in the shared inbox

Ms Muster asks by email about a sponsorship. The message is assigned and answered in the shared inbox.

  6. KampagnenNewsletter as she prefers

In the preference centre, she chooses to receive only project reports from now on.

  7. FinanzenTax receipt in January

In January, you create the tax receipts for all donors in one bulk run — including Ms Muster’s.
